Pinboards

A pinboard is displayed to the Knowledge user via the start menu. The information that can be read on the pinboard is linked to user groups.

If no pinboard is created in the system, users will see an error message when selecting the Pinboard tab.
Note: To edit pinboards, you must be in the Administrator role and have Permissions to work with pinboards.

Users who have permissions to edit pinboards can edit all pinboards in the system.

If you have created the first pinboard, it automatically becomes the start pinboard. After creating more pinboards, the lowest one in the order of pinboards is always the start pinboard. The start pinboard that is currently defined as the start pinboard cannot be deleted.

If you open the start page as an Administrator, you will be granted access to all existing pinboards and various editing options via the pinboard tab.

Create the first pinboard

No pinboard has been created yet.

To create the default pinboard, proceed as follows:

  1. Use the navigation menu to go to Search.
  2. Via the Add menu menu, select function Add text > Add pinboard.
    The dialog for creating and editing a pinboard is opened.
  3. Enter Title and design the pinboard in the Content field using the text editor.
  4. Attach documents, if desired.
  5. Assign User group and Responsible user.
  6. Save the parameters.
The start pinboard is created and displayed to all users.
Now, create the group-specific pinboards.

Adding and arranging additional pinboards

To learn how to add and sort pinboards, see the following section.

If you have created multiple pinboards, you can put them in order. If multiple pinboards have been assigned to a user, the pinboards that are in the list above will be displayed in priority position.

If one or multiple pinboards have already been created, proceed as follows:

  1. Switch to start area.
  2. Select Pinboard > Add pinboard.
  3. Edit the pinboard with the text editor.
  4. Save the pinboard.
    A view of the newly created pinboard appears in the overview. The new pinboard is added to the drop-down list of existing pinboard.
  5. Open the Set order of pinboards function via the action bar of a pinboard.

  6. Arrange the pinboards in the desired order by selecting individual entries and dragging them to the desired location.
  7. Drag the pinboard to the last place that should be seen by all users system, if no other pinboard was assigned.
The pinboards have been arranged.

Deleting pinboards

Pinboards can be deleted via the action bar of the current pinboard. Deletion is done via a dialog to confirm the deletion process.
Warning: Deleted pinboards cannot be restored.
It is not possible to delete the current default pinboard.

Assigning and removing pinboards to and from user groups

To learn how to make pinboards visible to specific users, see the following section.

You can assign a pinboard to each user group. User groups that have not been assigned a pinboard will see the default pinboard.

To assign a pinboard to a user group, proceed as follows.

  1. Open the user group administration Administration > User groups via the navigation menu.
  2. Select a user group from the drop-down list.
  3. Select Assign pinboard from the action bar.
  4. Select a pinboard from the drop-down list as your default pinboard.
    The user group assignment is displayed below the drop-down list.
  5. To delete the assignment of a pinboard to the selected user group, select the X behind the name of the pinboard in the drop-down list.
  6. Save the assignment.

Viewing and selecting your personal pinboard

Each user sees the pinboard assigned to his user group in the start area.

If different views are available for you and pin boards have been assigned for several of these views, you can choose which pinboard is shown to you as the start pinboard.

  1. Open your pinboard via Start > Pinboard.
  2. Select the Title of the Pinboard.
  3. Select a pinboard from the drop-down list as your default pin board.
