Placeholders

As aAdministrator, you can insert placeholders into Knowledge texts.

Placeholders allow you to insert variables into Knowledge texts in order to change them globally if necessary. Examples include product names, values like date or time, images or tables. You can also create frequently reused text sections here as placeholder and use them multiple times.

Each placeholder is defined via two parameters:

Keys
The key is displayed to the editor in the text during the writing process, it is generated by the system.
Title
The placeholder title is used by the editor to find the correct placeholder in the selection list.
Value
The value is displayed to the consumer. You can make the value stand out from the rest of the text by using design elements.
The placeholder can be designed in the same way as a Knowledge text. It can be of any length and can also contain lists, tables, images and IFrames, for example.

Placeholders can be managed (created, edited, deleted) by the administration and inserted (read) by members of the editorial team.

Add placeholder

To add a placeholder in the system, proceed as follows.

  1. Open Administration > Placeholder via the navigation menu.
  2. Select Add placeholder from Add menu.
  3. Enter the placeholder Title and Value in the placeholder dialog. The Title is used by the editor to find the correct placeholder.
  4. Save The placeholder.
The placeholder is now available for editorial team members to select via a drop-down list. You can open a preview of the placeholder as well as the settings from within the editor by double-clicking on the placeholder.

Creating placeholders during text editing

If you realize while creating a text that you need a placeholder, for example to use a text in several places, you can create a placeholder directly. To do this, proceed as follows:
  1. Start editing a Knowledge text.
  2. Select the text passage you want to convert into a placeholder.
  3. Open the context menu.
  4. Select Convert to placeholder.
  5. In the placeholder dialog, specify a title for the placeholder.

The placeholder is created and available to the editorial team members via the drop-down list.

Editing a placeholder

To edit a placeholder, proceed as follows.
  1. Open Administration > Placeholder via the navigation menu.
  2. Select a placeholder from the list.
  3. Select Edit from the action menu.
  4. Edit Title and Value.
  5. Save Your changes.
The placeholder has been edited.

Deleting a placeholder

To learn how to delete a placeholder, see the following section.

You have checked all usages of the placeholder using the search function. The placeholder is no longer needed.
To delete a placeholder, proceed as follows.
Warning: When you delete a placeholder, the ID of the former placeholder is displayed to users at the locations where the placeholder was included.
  1. Open Administration > Placeholder via the navigation menu.
  2. Select a placeholder from the list.
  3. Select Delete via the action bar.
  4. Confirm that you want to delete the placeholder via the dialog.
The placeholder is deleted from the list of placeholders for editors and from the Knowledge content.
