Users

The users are managed by the administration.

Roles, views and user groups have already been created.

A user group is described by the following parameters:

First name
Enter the user's first name.
Family name
Enter the last name.
Language
Select the system language from the drop-down list. The user sees the system in the specified language. System messages, for example on the subject of Forgot password are also created in this language.
The language may be changed by the user himself via the user menu, but is then only stored locally Serviceware Knowledge. The system language in Serviceware Authenticator is not overwritten.
If the selected language is not available, English is set automatically.
Email
Enter the email address.
The email address is unique and can only be assigned once in the system.
System messages are sent via this email address, such as messages about expired texts or for logging in, for example if a password has been forgotten.
Login name
Enter a username that the user can use to log in to the system.
The username is unique and can only be assigned once in the system.
Password
Enter a password.
Repeat password
Repeat the password.
User groups
Assign user groups to the new user.
Select one or more user groups from the drop-down list.
Select All user groups to include the user in all user groups.
Select No user groups to clear the selection.
Roles
You can assign an additional role to the new user, independent of the user group assignment. Select a role from the list.
Tip: It is recommended to assign only one role per user group.

Create a user

To create new users, proceed as follows:

  1. Open Administration > User via the navigation menu.
  2. Select Add user via Add menu.
  3. Make the settings for the new user:
  4. Select whether the user should be created as a contact in Serviceware Knowledge. The user will then be captured by the search function in Serviceware Knowledge. The contact data is visible within the assigned views.
  5. Save make the settings for the new user:
  6. Go back to the top of the page and activate the user. A user who is not enabled (yet) cannot log in to Serviceware Knowledge.

Editing users

To edit an existing user group, proceed as follows.
  1. Open Administration > User via the navigation menu.
  2. Select the user group you want to edit from the list.
  3. Edit the parameters for the user group as described above.
  4. Save the parameters.
