Categories

With the help of categories, knowledge content in Serviceware Knowledge can be searched and filtered according to various topics and thus structured.

The category makes it possible to search and filter texts and messages. This means that content related to a specific context can be found more quickly. Categories are maintained centrally by the administration.
Categories can be assigned to the text when editing a text or adding a message.
Warning: If the category is marked as mandatory for the selected content type, the assignment must be made to a value of the category. The text or message cannot be saved unless the category is assigned.
Each category is described by three parameters:
Title
Required field;
Category title, which also appears as title in the filters;
may not be assigned more than once;
maximum 255 characters, starting with an alphanumeric character;
characters allowed in addition to alphanumeric: _.+:!?%;=&$/,()#@-
Content type
Selection of content types to which the category should be applied:
Mandatory: The allocation of a category is mandatory for this content type.
Optional: The category may be assigned to the content type.
Values
Required field;
at least one value per category must be assigned;
maximum 32 characters, starting with an alphanumeric character;
characters allowed in addition to alphanumeric: _.+:!?%;=&$/,()#@-

Adding categories

To create categories, proceed as follows:

  1. Open category administration from the Administration > Categories navigation menu.
  2. Select the + Add categorybutton.
  3. In the category dialog, enter the Title of the category, as well as assignment to Content type and Values. The Title will help the editorial team member to find the correct category.
  4. Save the category.
The category is now available for editorial team members in the editing window for texts and messages. Depending on the definition of the content type, the new category may or must be assigned.

Editing categories

If you want to add, delete or change values within categories or change the definition of the content type, you can edit the category.

To edit a category, for example, to add additional values, proceed as follows:
  1. Open category administration from the Administration > Categories navigation menu.
  2. Select a category from the list.
  3. Select Edit via the action bar.
  4. Edit Title, Content type and Value.
  5. Save your changes.
The category has been edited.

Deleting categories

How to delete a category that is no longer needed is described below.

You have checked all uses of the category using the search function. The category is no longer required.
Warning: When a category is deleted, all content loses that category and its assigned category values. The content can no longer be found using these category values. The category is no longer available as a filter.

To delete a category, proceed as follows:

  1. Open category administration from the Administration > Categories navigation menu.
  2. Select a category from the category list.
  3. Select Delete via the action bar.
  4. Confirm that you want to delete the category via the dialog.
The category is deleted and is no longer available as a filter.
