Serviceware Knowledge 5.58

Replacement of the SABIO logo with the Serviceware Knowledge logo
The old SABIO ogo has been replaced with the new Serviceware Knowledge logo in various places:
  • Upper and lower logo in the log in mask
  • Logo in loading screen after log in
  • Drop down menu
  • Bar in the upper screen
  • User menu under "About Serviceware Knowledge"
  • Icon when there are open messages
  • Browser tab logo

Replacement of the product name SABIO with Serviceware Knowledge (system and system messages)
The old product name SABIO has been replaced with Serviceware Knowledge at various points in the system. The title of the tab in the browser is now also Serviceware Knowledge. In addition, the name has also been updated in automatically created system messages (partly already in the previous release).

Improvements of the placeholder function
Some changes were implemented for placeholders:
  • In the Placeholder settings, HTML tags are no longer displayed in the preview.
  • Placeholders can be opened in the editor by double-clicking. In the opened window a preview of the placeholder is displayed as well as the same editing settings as in the administration area.

Enlarge embedded images
Images that have been embedded in a text can now be viewed in a larger size in two different kind by the consumers: A new setting in the embedding options is introduced which allows easily selecting the image on itself in order for it to open with one click. Alternatively, the image can be opened and enlarged without this function by double-clicking it.

Integration of Serviceware Knowledge with Serviceware Flows

To create a simple interaction between Serviceware Knowledge and Serviceware Flows a Flowsintegration can now be activated by Serviceware Support. By entering a Flow ID, a flow can be linked to a Knowledge text. Within the text, the flow can be displayed either above or below the text or instead of a text. It is also possible to activate a flow as an additional function to the text.

Content content creation assistant (CCA) extended by function for creating and editing content with GPT
Icon: Beta This function is a beta version.
The already familiar content creation assistant (CCA) has already made it possible to receive help with structuring content (e.g. references to similar texts that already exist). Another function has now been added that allows new content to be created or edited with the help of AI (GPT). Both functions of the editing assistant can be used independently or together.
The new function for AI-supported creation and editing of content enables:
  • Quick selection functions
    • Summarize
    • Continue writing
    • Simple language
    • Improve writing style
    • Create list (bullet list, process steps, tasks)
    • Improve sound (positive, professional, direct)
    • Translating into different languages
  • Writing custom instructions for the AI
  • Preview of the generated content
  • Replace the text or insert the generated content below the text
Please note: This functionality requires processing data using Microsoft Azure's Open AI Services. All data is processed exclusively within the EU. If you are interested in participating in the beta phase, you must agree to the use of Microsoft Azure. Details are available on request from your account manager / sales contact.

Extended scrolling in the search of the new file management
In the search function of the new file management, it was previously possible to display up to 12 files at the same time before having to switch to the next page. You can now continue scrolling as required to load further files. This makes it easier to edit or delete several files at once.
Use of anchors in foldout areas
If an anchor is used in a fold-out area, the fold-out now open when the anchor is selected.
New infrastructure and adjustment of storage periods for Knowledge Basic Reporting
Icon: Beta This function is a beta version.
Updates have been made to the infrastructure to make the Knowledge Basic Reporting (beta) more stable and efficient. We have implemented specific guidelines for Knowledge BI Reporting with regard to data retention. In accordance with these guidelines, the data accessible via the UI is stored for a period of 24 months and raw data for a period of 3 months.

Enhancements

Drag and drop editor for file management
If images are dragged and dropped into the text area when editing texts, these images are transferred directly to the file management via the drag and drop editor.
Improved file management
Files can be transferred to the file management via drag and drop.
Complete folders with files can be added to the file management (up to 500 MB).
If the upload limit of 500 MB is exceeded, an error message is now displayed.
The file extension (e.g. .pdf or .png) is no longer displayed.
Parallel use of standard and text block templates
Standard templates and text block templates can now be activated and used simultaneously.
Suggestion status can be changed without detour
The buttons for changing the status of a suggestion (open, in progress, closed) are now also visible above the text when the suggestion is selected. Previously, the text had to be opened in editing mode for this.
Bug fixing
Preview Microsoft Office documents
Problems with displaying the preview of Microsoft Office documents in the system have been fixed.
Printing texts with foldout elements
Texts with several foldout elements were not formatted correctly in the print view. This has been fixed.

Serviceware Knowledge 5.56

New functions:

Texts may be expanded and collapsed
The footer of texts (with views, categories, etc.) can now be folded in and out.
Text headers can be pinned and unpinned flexibly.
The header area of texts with headline and action bar can now be pinned or unpinned flexibly. In addition, the font size of the text heading has been reduced to provide more space for the text content.
Open or close all foldout areas at once
With a new option, all expandable areas of a text can be opened or closed at the same time.
Troubleshooting:
Download of files with umlauts in file names improved
When downloading files that contain an umlaut in the file name, the file name is now correctly output with the umlaut after downloading.
Sorting of attached files
Files attached to texts, messages, pinboard or placeholders are now automatically sorted alphabetically.
Folder structure for file embedding
If files are embedded in the text during text creation, the folder structure now corresponds to the file management structure when the file is selected.
Changed user group of a file visible in the search
If the user group assigned to a file is changed, this is now directly visible when the file is found within the search function.
Overwriting write permissions of files
In individual cases, the write permissions of files were overwritten with the currently logged in administrator. This error has been fixed.
Preview Microsoft Office files
The preview of Microsoft Office files (Word documents, Excel files) is displayed correctly again when a text is called up.
System email on password change by administrator
If Authenticator is activated, an email is no longer sent to the user if the password has been changed by an administrator.
Text formatting hidden in foldout areas (title)
The text formatting has been hidden for the titles of expandable areas.
Adding categories in tree editing
When editing the tree, categories can be added to a branch again in all cases.
Correct output of the date when inheriting effectivity
When inheriting the validity of a branch to a text, if the start date of the new validity is after the text has expired, the date was displayed incorrectly (e.g. 05.03.2023-01.03.2023). This has been fixed.
Renamed categories appear in the search function
After renaming a category, it now appears more quickly in the selectable filters of the search function.
Comparison of text versions
The comparison of text versions is again possible in all cases. This has already been fixed with a patch in version 5.55.2.
Scroll to pinboard
Scrolling is possible again on pinboards. This has already been fixed with a patch in version 5.55.2.

Change of the sender address of system emails
In future, the sender address of system emails will be noreply@serviceware-se.com instead of noreply@sabio.de with the sender name Serviceware Knowledge.
Links in embedded images remain
Previously, a link to an image embedded in the text was removed during image editing in some cases (for example, when a frame was added). This behavior has been corrected so that from now on the link always remains.
Search opens foldouts
If a result is found in the foldouts of a text via the search, the foldout is opened (when the search result is selected) and the result is highlighted in it.
Last active field in user settings is updated on a regular basis
The "Last active" field, visible (only with appropriate system settings) in the expanded view of the user overview, now updates to the user's last activity on a daily basis.
C-API: MaxClickCount is no longer necessary and will not be supported in the future
The MaxClickCount field will no longer be supported in the future as the functionality is redundant to ClickCount. ClickCount (in the default configuration) provides the number of clicks for a given text as a sum over the last 30 days. If you are currently still using MaxClickCount, please switch to ClickCount. MaxClickCount has now been discontinued. This means: MaxClickCount will still be supported for some time, but will no longer be available in one of the future versions.

Stability improvements
Various aspects aimed at improving stability and bug-fixing have been implemented.
Improved backup for BI reporting
The backup concept of the new BI reporting has been optimized to reduce the amount of data stored.

Serviceware Knowledge 5.53

CSV exports contain ID and link
In the CSS exports from the respective search function for texts, files (currently only the ID), messages, users, user groups and views, the columns ID and Open in browser are now included.
The column ID contains the ID of the respective element. This can be used, for example, in conjunction with the raw data export from Knowledge Basic Reporting. This means that the individual tracking events can be linked to the data of the respective entities and, for example, the text title can be displayed instead of the text ID.
The column Open in browser contains a link to the respective entity. Thus, one can quickly jump from the export to the web interface to view and/or edit the content. For texts, these columns are also included in the exports at Expires soon/Already expired and for approval.
Reception performance when exporting raw tracking data
The Knowledge Basic Reporting raw data now also includes the performance times of how long a request took on the server. This data provides an initial indication of the system's performance. Not included here are the times required for a request on the network and possibly on the local computer. It is only the time between receipt on the server and just before the response is sent.

Serviceware Knowledge 5.52

With the launch of Serviceware Knowledge 5.52, the Basic Report is now available as an open beta for all those who already authenticate via Keycloak and via the Serviceware Knowledge client.

It is now possible to see which website a widget request comes from
The URL of the website in which the widget is embedded is sent in the referrer URL. In this setting, you can specify the name to which the referrer URL maps the source website. This improves the tracking of widgets. Everything that is not entered there is collected under knowledge widgets. This is the default setting. If you have 3 widgets in use, but only define 2 assignments, then the third is recorded under "Knowledge widgets".
Tip: This setting is not retroactively helpful. The setting is only taken into account for requests from widgets that were made after the setting was set.
Administrators can now set passwords and login names for users managed via Keycloak
Administrators can now set passwords and login names for users, even if Keycloak is used for user management.
Tip: If a password is set when the user is created, no welcome email with a password will be sent.

Serviceware Knowledge 5.51

"Transfer content" function now also takes files into account
The "Transfer content" function for users and user groups now also includes checking for files. This means that responsibilities can now also be easily changed for files, for example to delete users who were responsible for files.
Own source for files in the search
As for texts, for example, there is now a separate source for files in the search tab to be able to access files quickly.
Add files to the tree via drag and drop
As before with documents, files can now also be inserted into the tree as attachments to texts using drag and drop (must be in edit mode).

Serviceware Knowledge 5.50

The sorting of filter values is no longer case-sensitive
When sorting the filter values, no distinction is made between upper and lower case. Thus, values starting with lower case letters no longer appear at the end of the list.
Columns added in the CSV export of the file managment
In file management, the search result list can be exported as CSV. The following columns have been added to this export:
  • Responsible user
  • Responsible user group
Usage rights for files can now only be assigned to user groups with editors
When assigning usage rights for files, it was previously possible to choose from all user groups in the system. Now the selection is limited to user groups that contain at least one user who is allowed to create and/or edit content. A user in the user group must have one of the following authorizations:
  • May create texts
  • May edit texts
  • May create messages
  • May edit messages
  • May create cancelations
  • May process cancelation
  • May create EOP
  • Allows to edit EOP
  • May create questions
  • Allows questions to be edited
  • May create pinboards
  • May edit pinboards
  • May create placeholders
  • May edit placeholders
  • May create templates
  • May edit templates
  • The print preview of texts has been optimized
Texts are now wrapped if they do not fit on one page. This means that texts are no longer cut off at the edge. However, if elements (e.g. images or tables) with a fixed width (e.g. 1500 pixels) are embedded in the text, this can lead to parts of the text being cut off. This can be remedied by using only relative values such as 80% for the width. In this way, the content scales dynamically to the width of the display area and thus also in the print preview.
The salutation in the Keycloak welcome email is now the name of the user
Previously, the login name was used for the salutation. Now use your first and last name.
