Serviceware Knowledge 5.49

With the introduction of Serviceware Knowledge 5.49, file management is now available to everyone. Limitations: The functionality of the content feed with file management is currently limited. If these are used in your company, you can contact Serviceware Knowledge Support for further information.

It is currently not possible to display files directly from the search or as attachments. We are currently working on providing a new version for the respective clients that supports the new file management.

In order to be able to use the new file management, the data must be migrated. This migration can be registered with Serviceware Knowledge Support. Keycloak must be activated as a prerequisite; activation can also be registered with Serviceware KnowledgeSupport.

File management
Only applies to files that have been attached, embedded or linked using the new file management function.
If an editor wants to send a message with an additional email notification, files that have been embedded, linked or attached to this message are now also sent along with it
Tip: A maximum of 10 MB of files are included, as many mailing lists do not allow larger files. Files are included in HTML view exports.
Embedded files are displayed directly. Attachments are displayed and can be opened.
Administrators can now set more detailed permissions for file management.
The permissions are now similar to other permissions in Serviceware Knowledge.
Editors and administrators can call up a context menu with all available actions by right-clicking.
Right-clicking on folders or files shows the user all available actions in a menu.
Editors and administrators can now move folders and files in a simplified way.
It is now possible to select files and/or folders and then move them to another folder using the context menu.
Editors and administrators can now see how often a file is used in the file management search. The "Connected resources" column can be added in the file management search. This shows how many times the corresponding file is used in other content.
The sorting in the file manager search is now displayed more clearly.
The sorting of the search results in the file management search list is now displayed above the list. This is displayed when the list is sorted.
Editors and administrators can now reset the sorting in the file management search.
The sorting of the columns in the file management search can be reset by selecting "Sort by relevance" under the column selection.
Editors and administrators working in parallel can now see immediately when changes are made in the file management.
As soon as changes are made, a message appears prompting you to reload the file manager. It is also possible to stop displaying this message during the current session and load the changes directly. To stop the direct refresh again, log out once and then log back in.
Files can be saved as favorites/bookmarks
Files can be added as favorites and removed from favorites using the bookmark icon.
Sharing files is possible
When you select the "Share file" button, the option now appears to send the link to the file by email or copy it to theclipboard.
Sorting files by size is now possible
The option to sort files by size has been added.
Skipping deletion confirmations is no longer possible in combination with "Deletion requires additional confirmation"
Editors and administrators must confirm the deletion process each time they want to delete a file or folder if the "Deletion requires additional confirmation" setting is activated.
Editors can edit and delete links behind embedded images in a simplified manner.
If there is a link behind an embedded file, you can edit this link using the "Edit link" icon in the CKEditor toolbar and remove it using the "Remove link" icon.
The navigation in the drop-down-lists for setting write permissions for files has been improved.
The first available user group is now automatically selected. In addition, the current editor or administrator is automatically selected as the responsible user as soon as the user group is changed. It is also possible to carry out a rudimentary search for user groups and responsible users in order to be able to set these quickly.
Alignment of the icons
The same icons are now generally used throughout the Knowledge system.
Ukrainian search
Ukrainian is now available as a search language and can be set by our support.
Knowledge customers can view Office files directly in Serviceware Knowledge (BETA)
Office files can now be viewed in Knowledge without downloading them first.
Tip: The files are converted to PDF format for display in Knowledge. When downloading, the Office file is downloaded as usual. Office files are currently Word, Excel and PowerPoint files.

Serviceware Knowledge 5.48

The filter values for filtering the search results are sorted alphabetically and you can search within the list of values.
Foldouts available for messages
It is also possible to insert foldouts into messages. This allows messages to be structured better than before.
Text block templates are out of the beta phase
You can now use text block templates in all types of content created with a CKEditor.
Dictionary CSV export contains synonyms
When exporting a list of dictionary entries as CSV, synonyms are now also displayed as a comma-separated list.
Function "Use user's email address as sender" is no longer available
This function is no longer available for security reasons. Emails from other senders could possibly be a phishing email attack. For this reason, such emails are filtered out by our security checks.

Serviceware Knowledge 5.47

Changes in the Named Client API
There is a new API for the new file management to receive files from Serviceware Knowledge. This will replace the previous API.
If you need the API documentation, please feel free to contact us.
Tip: The previous interface is documented under "/document" and "/file" and has now been marked as "discontinued".
The new interface is documented under "/fm".
The previous API will no longer be available after the switch to the new file management system or from October 2022.
The C-API (Consumer API) is not affected by this change.

New version of the widgets without Internet Explorer support

The Angular version of the Serviceware Knowledge (SABIO) widgets has been updated to the latest version Angular 12. With this version, Angular is discontinuing support for the Internet Explorer 11 browser. If widgets are embedded on a web page that is opened in Internet Explorer, they are no longer displayed.

The following message is now displayed instead of the widgets: "Please use a different browser to view the content".

The "Add content" menu responds to the selected source
The drop-down list for creating new content now reacts to the selected source to which the user navigates.
If a user is in the "Texts" source, the menu shows the "Add text" option. When switching to the "Documents" source, the "Add document" menu is displayed.
If the selected source does not have a specific content type (e.g. "All content"), the menu remains at the last selected option from before.
Foldouts have a title by default
In the past, it was hardly recognizable that you could add a title to a foldout. That's why we fill the title field with the word "Title", so that the editor knows that there is an option to set one.

The user interface has been updated.

Navigation
The main navigation is now on the left-hand side instead of the tab in the top bar.
For quick navigation to a specific source, you can use the new navigation menu in the top left-hand corner.
The filters have been moved from the bottom left closer to the search bar. There is now a button above the search bar that opens the filter selection window. If you have selected some filters, these are displayed directly next to the button.
The drop-down list with the options for creating content is now located at the top right.
A tooltip is also displayed when you move the mouse pointer over a tab in the top bar, which shows the entire title of the tab. This helps, for example, with long text titles that do not fit in the tab.
New symbols
Some elements of the navigation and content types now have new icons:

  • Cancellation

System administrator user group
In the "System" section of the system settings, you can define a user group that is responsible for the system. This group will be notified in future if, for example, the license or storage limit is exceeded. Or it is defined as the responsible user group if no user group has been defined for the content.
Field "Contact for" has been extended
For a contact, you can describe what this contact does or what they should be contacted for. This field has now been extended so that it can be filled in with 1000 instead of 250 characters. This is also displayed in the user interface.

Use text module templates in a text - Now compatible with the Content Creation Assistant
The function to use text module templates in a text now also works in combination with the content creation assistant. All templates used are now excluded from the content again by the AI and therefore no similarities based on templates are recognized.
However, there are still restrictions for some content types (e.g. messages), which is why we are leaving the "Text module template" function in beta status for the time being. We will inform you via the release notes if this status changes.
Foldouts can now be used in placeholders
Foldouts can now be used in placeholders. If a placeholder with foldout pages is used in the content, these are now displayed correctly. Their status, opened or closed, is also taken from the placeholder.
